Fractional Expert Administrator (FEA)

The Fractional Expert Administrator (FEA) will play a crucial role in providing high-level administrative support to executives and senior management. The position is responsible for managing calendars, coordinating meetings, handling correspondence, and performing various administrative tasks. Exceptional organizational skills and attention to detail will contribute to the smooth functioning of the office and the overall success of the organization.

  • Calendar Management: Manage and maintain executives’ calendars, scheduling appointments, meetings, and travel arrangements. Coordinate and prioritize conflicting demands to ensure efficient use of time.
  • Meeting Coordination: Coordinate and schedule meetings, including preparing agendas, taking minutes, and distributing meeting materials. Ensure all necessary resources and technology are available for successful meetings.
  • Correspondence Management: Draft, proofread, and edit correspondence, reports, and presentations. Handle incoming and outgoing communications, including phone calls, emails, and mail, in a professional and timely manner.
  • Document Management: Organize and maintain electronic and physical files, ensuring easy retrieval and confidentiality of sensitive information. Prepare and distribute documents, reports, and presentations as needed.
  • Office Operations: Oversee general office operations, including ordering supplies, managing office equipment, and coordinating maintenance and repairs. Ensure a clean and organized office environment.
  • Travel Arrangements: Coordinate travel arrangements, including booking flights, accommodations, and transportation. Prepare travel itineraries and expense reports, ensuring compliance with company policies.
  • Database and Records Management: Maintain and update databases and records, ensuring accuracy and completeness. Generate reports and analyze data as required.
  • Project Support: Provide administrative support for special projects, including research, data analysis, and coordination of project deliverables. Collaborate with cross-functional teams to ensure project success.
  • Confidentiality and Discretion: Handle confidential and sensitive information with utmost discretion and maintain a high level of confidentiality at all times.
  • Team Support: Provide support to other team members as needed, including assisting with administrative tasks, coordinating team events, and fostering a positive and collaborative work environment.
